Legal Secretary
Our client is a global law firm providing a wide range of legal services, known for its expertise in law, business, and government.
About the role:
- Offer full secretarial support to Amsterdam partners and fee-earners, ensuring tasks are prioritized and handled appropriately
- Create and manage a variety of documents and correspondence
- Handle the complete client billing process
- Answer incoming client calls, ensuring fee-earners receive messages and clients have a positive experience with the firm
- Screen phone calls and provide assistance or delegate as necessary
- Regularly monitor and manage emails and mail, especially when partners/fee Earners are traveling
- Efficiently manage fee-earners‘ calendars, including scheduling meetings
- Arrange comprehensive travel plans and visas
- Prepare agendas and distribute necessary documents
- Compile required papers and documents for partners‘ meetings and conferences
- Manage and maintain client extranet sites
- Store documents electronically for easy access by other secretaries and fee-earners
- Assist fee-earners with client relationship management, including building rapport with clients‘ PAs
- Provide marketing support, including organizing seminars, training sessions, and webinars
- Handle new client onboarding, including conflict checks, business intake forms, money laundering procedures, and opening new clients/matters in the Elite system
- Perform various ad hoc administrative tasks, including managing expenses
About you:
- Fluent in both Dutch and English
- Possess a positive and proactive attitude, with a keen interest in learning and developing new skills
- Self-motivated and capable of working independently
- Demonstrated organizational and administrative expertise
- Exceptional interpersonal and communication skills
- A minimum of 3 years of experience, preferably within a law firm or an in-house legal team
- Proficient in Microsoft Word, PowerPoint, Excel, and Outlook
