Receptionist – International Law firm, Hong Kong.
The Receptionist will handle front desk operations, with a particular focus on visitor enquiries by handling incoming phone calls as well as face-to-face greetings in a professional manner. Providing important support for business services and requires professional, prompt, willing and courteous service and a high level of focus on work quality, confidentiality and security.
Responsibilities
* Day to day reception duties such as being the face and voice of the Law Firm’s Hong Kong office as the first point of contact
* Answer incoming calls, manage the switch board, announce, and direct incoming calls and visitors to appropriate contacts and providing information when required
* Keep the waiting area tidy, provide reading material for waiting visitors and provide refreshments for visitors
* Monitor security for the office and issue visitors passes
* Receive, sort and dispatch mail
* Book meeting rooms and ensure they are “fit for purpose” before meetings take place
* Liaising with the building management for smooth operations between our offices
* Assisting with procurement, vendor and supplies management including maintaining good relationships and close contacts with service providers including couriers, contractors, plumbers, cleaning service etc.
* Travel arrangements and accommodation bookings
* Assist the Operations Officer for event arrangements
* On\/ off boarding preparation work for new joiners and leavers
* Special projects and support to the Operations Officer and Asia COO as required
Qualifications and experience
* Relevant experience in a similar role
* Ability to work under pressure in multi-tasking environment
* Excellent communication skills
* Basic understanding of customer serving skills
* Willingness and ability to provide assistance whenever possible<\/p>\n
